Recording your weekly numbers
The heart of MinistryStats is your weekly numbers — attendance, giving, groups, and whatever else your church tracks. You enter them through simple, guided forms, and everything on your dashboards is built from what you record here.
Where the forms live
Your data-entry forms live under Entry. Each area of ministry has its own form — for example, a weekend attendance form, a groups form, a kids form, a finance form. You open the one you need, fill it in, and save.
The point of separate forms is that each person only sees the form they're responsible for. Your kids director records kids numbers; your finance person records giving; nobody has to wade through a giant spreadsheet.
Entering numbers with a PIN
Most entry forms are protected by a short PIN for your campus rather than a full login. When you open a form, you'll see "Enter the PIN for your campus to continue."
This is deliberate. It lets a volunteer or team lead record their numbers on a shared device — a tablet in the kids wing, a laptop at the welcome desk — without needing their own MinistryStats account. An administrator sets the PINs; you just enter the one for your campus.
A typical entry: weekend attendance
The weekend form is designed to be filled in service by service, right after each service — it's built to be a quick "coach" you complete as the morning goes, not a Monday-morning data dump.
- Open the weekend form and enter your campus PIN.
- Choose the service you're recording (for example, the 9:00 or 11:00 service).
- Enter the numbers for that service.
- Save. Repeat for your next service.
Other forms (groups, kids, finance, and so on) follow the same shape: open the form, enter your numbers, save.
Why the forms catch mistakes
MinistryStats forms are validated — they're built to catch typos and impossible entries before they ever reach a dashboard. That's the whole idea: clean numbers going in means you can trust the reports coming out. If something you enter looks off, the form will tell you rather than quietly saving a bad number.
After you save
Once you save, your numbers flow straight onto your dashboards and into your goal pacing. There's nothing else to "submit" or "publish" — recording the number is all it takes.
If something looks wrong
- You don't know your campus PIN — ask an administrator on your account; they set and manage the PINs.
- You don't see the form you need — the forms available to you depend on how your church is set up. An administrator can turn additional forms on.
